Last month's report lands on the twentieth, and the decision has already passed

The transactions are already recorded everywhere: sales at the till, purchases on slips, payroll in a spreadsheet. The real work is not recording, it is gathering it all again every month to make one report.

Why this happens

It is almost never a matter of effort. These are the patterns we keep running into.

Transactions get entered twice

One sale is recorded at the till for operations, then re-entered in the books for accounting. Two records of one event means two chances to diverge.

Month end becomes its own project

Chasing slips, reconciling accounts, and hunting missing evidence takes days. The report finishes when its contents can no longer be acted on.

Nobody knows today's cash position

Cash flow only appears once the monthly report closes. Decisions to pay a supplier or delay a purchase get made on instinct rather than numbers.

How we fix it

  1. 01

    Operational transactions become journal entries

Sales, purchases, and payments already recorded for operations automatically form their journal entries. There is no second recording.

  2. 02

    Statements build through the month

The balance sheet, profit and loss, and cash flow form as transactions arrive, so the position can be read any day, not only after close.

  3. 03

Bank reconciliation becomes a small daily task

Bank movements are matched against existing transactions in minutes each day rather than stacked up until month end.

  4. 04

    Closing becomes a review

Because the figures are already assembled, month end turns into reviewing anomalies instead of rebuilding from zero.

Case study

Mid sized manufacturing

Situation

Statements routinely closed mid way through the following month. Transactions were re-entered from the till and purchase slips into the books, and cash position was only known after the report.

What we built

Operational transactions were wired straight into journals, bank reconciliation became a daily task, and the balance sheet, P&L, and cash flow were made to build continuously.

Result

  • Cash position reads any day, not monthly
  • Double entry of the same event stopped
  • Month end turned into a review
  • Bank differences surface the same day

Questions we get asked

We already use accounting software.

If that software already receives transactions from your operational systems without retyping, you do not need us for this part. What usually happens is that the accounting software is fine but gets filled by hand from another system, and that is where the delay comes from.

Our accountant has their own way of working.

The chart of accounts, report formats, and depreciation policy follow what you already use rather than being forced into a shape. What changes is where the numbers come from, not how the statements are built.

Does this replace our accountant?

No. What it replaces is gathering and retyping. Judgement, unclear classifications, and policy decisions remain the accountant's work, and get easier because the data arrives clean.

What about tax?

The transaction data is structured ready for tax reporting, including the separations required. Preparing and filing remain your tax consultant's work.
