The conversation that almost became an order vanishes into chat history

Last week someone asked about a large project. Nobody logged it, nobody followed up, and now nobody remembers the number. Chat is no place to keep opportunities, yet that is where everything happens.

Why this happens

It is almost never a matter of effort. These are the patterns we keep running into.

An opportunity lives in one person's head

Conversations happen on each salesperson's phone. If that person takes leave, resigns, or simply forgets, the opportunity leaves with their chat history.

Follow up depends on memory

No reminder attaches to the conversation. What gets followed up is whatever resurfaces on screen, not what is most valuable.

After the deal, delivery is invisible

The sale closes in chat, then delivery is tracked elsewhere or not at all. The customer asks for progress in that same chat and nobody can answer quickly.

How we fix it

  1. 01

    Conversations become recorded opportunities

A chat that shows intent gets an opportunity record with an estimated value and stage, without the salesperson retyping anything.

  2. 02

Quotes are built from the conversation

What the customer already described in chat is used to draft a quote, which goes back into that same conversation.

  3. 03

    Reminders attach to the opportunity

Each opportunity carries a scheduled follow up with an owner, so the valuable ones stop losing to whatever is loudest.

  4. 04

After the deal, delivery gets a tracker

An approved order creates work with stages and deadlines, and progress can be sent to the customer from the same conversation.

What it looks like

A picture of the screen you would work in, not an illustration.

What this screen shows

  • Incoming
  • Quoted
  • In delivery

Case study

Interior contracting

Situation

All sales conversations lived on individual phones. Large opportunities were lost to missed follow ups, and delivery progress was chased by phoning the foreman.

What we built

Conversations showing intent were recorded as valued opportunities, quotes were drafted from stated requirements, and approved orders created work with stages and deadlines.

Result

  • Opportunities stopped vanishing with one person's phone
  • Follow ups are scheduled rather than remembered
  • Pipeline value reads as a single figure
  • Delivery progress goes out without phoning the foreman

Questions we get asked

Our salespeople will not use another app.

That is a fair constraint and it shapes the design. Salespeople keep working in WhatsApp; the recording happens behind the scenes from conversations that already exist. The people who open the app are usually the ones who need the whole pipeline view.

Will personal chats be readable?

No. Only the business numbers you designate are connected, never personal accounts. Conversations outside those numbers never enter the system.

We already have a CRM.

If that CRM allows writing data from outside, conversations can feed it without replacing anything. The usual problem is not the absence of a CRM but a CRM nobody fills because filling it is manual.

Can a team spread across cities use it?

Yes. Opportunities and work open in a browser from anywhere, and access follows role and territory, so each person sees the part they are responsible for.

Problems that usually come together

No long form. Send one message describing where you are now and we reply with a sensible next step, not a mass quote.
