A customer leaves empty handed while the item sits at the next branch

Each branch counts its own stock. When the size is out, a sales assistant can only guess or ring around, and most simply say it is unavailable.

Why this happens

It is almost never a matter of effort. These are the patterns we keep running into.

Stock is counted per branch, not per company

Each branch keeps records accurate only for itself. No single number answers how many of an item the company holds today.

Transfers are poorly recorded

Goods move between branches by courier with ad hoc notes. When something does not arrive, where it vanished and who is accountable are both unclear.

Rejects pile up with no status

Faulty items, customer returns, and samples sit in the same store room as sellable stock. Their value keeps counting as inventory though none of it can be sold.

How we fix it

  1. 01

    One item list, many locations

An item is recorded once and its quantity held per location. A sales assistant can see availability at every branch from the till.

  2. 02

Transfers as documents with a state

A transfer has a document with sent and received states, so goods in transit still count and any gap can be traced.

  3. 03

    Rejects get their own place

Faulty items and returns move to a dedicated location with a reason, so they stop counting as sellable and their value can be reassessed.

  4. 04

Prices and promotions can differ per branch

Base prices are set centrally while a given branch can hold its own price or promotion without breaking stock records.

What it looks like

What this screen shows

  • Item

  • Sellable
  • Reject

Case study

Fashion retail

Situation

Six branches with separate stock records. Assistants phoned other branches to check sizes, and rejects were stored mixed in, so their value kept counting as inventory.

What we built

The item list was unified with per location quantities, inter branch transfers became documents with states, and a dedicated reject location was created with reasons.

Result

  • Availability across branches shows at the till
  • Goods in transit stopped falling out of the count
  • Inventory value stopped including rejects
  • Cross branch sales can be closed on the spot

Questions we get asked

Our branches often lose internet.

The till keeps serving sales offline and syncs afterwards. What genuinely needs a connection is seeing other branches' availability, because that number lives elsewhere.

We have thousands of codes and variants.

The count is not the problem as long as the data can be mapped. Items with size and colour variants are recorded as one product with variants rather than thousands of separate products, so till search stays fast.

Can it take online orders too?

Yes, and that is the main reason to unify stock. The online store reads the same figure as the till, so an item just sold in store stops showing as available on the site.

What about stock takes?

They still happen, but become a reconciliation rather than a count from zero. Differences are recorded with reasons on their own document, so loss patterns become visible across periods.
